Who is responsible for your data?

The Swedish Translation Hub AB (reg. no. 559553-4040), Stockholm, Sweden, is the controller for the processing described here. Send questions about personal data to us using the contact details at the bottom of this page.

What data do we process?

• Contact details – such as name, company, job title, email address and phone number.
• Details for quotes, agreements and invoicing – such as invoice address, company registration number and purchase order number.
• Communication – what you write to us by email and in other messages.
• Files and material – texts and documents you send for a quote or an assignment. They may contain personal data about you or others, such as names in a document.
• Technical data when you visit the website – such as your IP address, which the hosting service needs to show the page and protect it against attacks.

Why do we process the data?

• To answer questions and provide quotes – based on our legitimate interest in replying to you, or as a step before entering into an agreement.
• To carry out assignments and communicate about them – to perform the agreement with you or your company.
• To invoice and keep accounts – to comply with legal requirements, including the Swedish Bookkeeping Act.
• To protect the website and our systems – based on our legitimate interest in sound information security.

Files and material in assignments

If the material you send contains personal data, we process it on your behalf and only to carry out the assignment. We then act as a processor, and you or your company is the controller. Where necessary, we sign a data processing agreement (see clause 7.4 of our general terms and conditions).

We never enter your material into AI tools or machine translation services that store, train on or otherwise reuse the content.

How to send material to us

The website has no file upload function. You send material by email or via a secure file transfer service that we agree on. If the material contains sensitive personal data, such as health information, please contact us first so that we can choose a secure way to transfer it.

Who can access the data?

• Subcontractors – translators and reviewers who help us with assignments. They are bound by confidentiality and by our minimum information security requirements.
• IT providers – such as Microsoft (email and storage) and Cloudflare (the website). They may only process the data according to our instructions.
• Finance and accounting – our accounting system and any accounting firm, for invoicing and bookkeeping.
• Public authorities – when we are required by law to disclose data.

We never sell personal data.

Transfers outside the EU/EEA

Some of our IT providers operate in the United States, and data may be transferred there. Such transfers are protected by the EU–US Data Privacy Framework or the European Commission’s standard contractual clauses.

How long do we keep the data?

• Enquiries that do not lead to an assignment are deleted no later than 12 months after the last contact.
• Material from assignments is kept for as long as needed to handle complaints and other claims, and is then deleted at your written request (see clause 7.3 of our general terms and conditions).
• Accounting records, such as invoices, are kept for seven years as required by the Swedish Bookkeeping Act.

How do we protect the data?

Among other things, we use two-factor authentication, encrypted devices and up-to-date software, and we require the same of our subcontractors.

Your rights

You have the right to access your personal data, have inaccurate data corrected, have data erased, restrict processing, object to processing based on legitimate interest and, in some cases, receive your data in a machine-readable format. Contact us and we will help you.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Swedish Authority for Privacy Protection (IMY) or the data protection authority in your country.

Cookies

The website uses no cookies and stores nothing on your device. We use no analytics or marketing tools, and the language is chosen based on your browser’s language setting. That is why no cookie banner is shown. If this changes, we will update this policy and ask for your consent before any non-essential cookies are used.
